Adding/Modifying Client Details

Client details are added to the Interior or Exterior Painting Estimating forms by clicking the 'New' button on the 'Client Information' tab. The selected client on Painting form can also be edited by clicking the 'Edit' button. The Client form is then opened with the record to be modified. Click Use Client to transfer the details of the client saved in the Client form to the estimate in the Interior or Exterior Painting Estimating form.

When a current client is selected, any estimates or contracts already prepared for the client will be listed on the 'Estimates/Contracts' tab.

Importing a contact from Outlook: To import a client or agent from your Outlook contact list, click the Import from Outlook button on the Client form. The list of available contacts in the last folder you selected will be displayed. To display the list of contacts from another Outlook contact folder, click the Find Folder button on the Outlook Contact form.

Organizing your Outlook contacts:
To avoid having your entire Outlook contact list displayed every time you select a painting client, you can optimize your results by creating contact folders for the different types of contacts. For instance, create an Outlook contact folder titled Paint Clients' for your customers etc. Estimate Works™ remembers what folder you used last when retrieving an Outlook contact so that only the relevant contacts will be displayed.

Saving a new contact:
For clients and agents that are not already in your Outlook contact list, fill in the appropriate information on the Client Information form. Click the Export to Outlook button to add this new contact to Outlook. You will be prompted for the correct folder where you want the contact listed. If your contact is already in the list or there are similar entries, Outlook will prompt you to add the entry as a new contact, or update the existing contact.

Updating an Outlook contact:
To update clients and agents that are already in your Outlook contact list, fill in the new information on the Client Information form. Click the Export to Outlook button. You will be prompted for the correct folder where you store your paint clients. Outlook will prompt you to update the existing contact and display the current record.

Estimates/Contracts:
View a list of all estimates and contracts for the current client. To print the list of contracts, click the 'Print Reports/Documents' button on the Reports & Letters tab.

Reports & Letters:
Printable reports are available to list the current contracts for the client. Click the 'Print Reports/Documents' button to select the report to print. Additional client reports are also available to list current clients, print mailing labels or to export your client list for use by your printer. These reports are available from Reports - Client Lists on the main menu. See Reports for more information on Estimate Works™ client reports.

You can also print form letters based on your own templates to the selected client. Click the 'Print Reports/Documents' button to print your customized form letter with the current client details (see Using Document Templates for more info). To add client fields to a document, select Documents - Insert Estimate Template Fields - Client Details after opening your document.
